This Privacy Policy describes how the Mile High Estimate Generator application (the “App”) handles data accessed from QuickBooks Online and other connected services. The App is a private, single-tenant tool used exclusively by Mile High Foodtrucks LLC (“Mile High”).
Data the App accesses
- From Apptivo CRM: lead records (name, email, phone, lead status, custom “Quote Notes” field).
- From QuickBooks Online: product/service catalog, customer records, existing estimates.
- From Anthropic Claude API: equipment-name disambiguation responses. Only product-name strings from Mile High’s own catalog are sent; no PII or financial data.
How data is used
Data is used solely to generate draft estimates in Mile High’s QuickBooks Online account. Estimates are created in “Pending” status and reviewed by Mile High personnel before being shared with any customer.
Data storage and retention
The App does not maintain its own database. Data is fetched at runtime and processed in memory. GitHub Actions logs are retained 90 days.
Third-party processors
- Anthropic (Claude API) — catalog matching. Anthropic does not train models on API-submitted data.
- GitHub Actions — execution environment.
- Intuit QuickBooks Online — data source/sink.
- Apptivo — lead data source.
Data sharing
Data accessed from QuickBooks Online is never shared with, displayed to, or used by any party other than Mile High Foodtrucks LLC.
Security
API credentials are stored as encrypted GitHub Actions secrets. All network traffic uses HTTPS. The App is not accessible from the public internet.
